Now we are looking for Administrative Operations Lead.
You will be leading Valtech Care Team, which is a team focused on making employees lives at work a great experience through ensuring office comfort, fulfilling employees’ requests within a clear framework, creating company-wide, local, and team events, and issuing a monthly newsletter.
Administrative Operations Lead is a leadership position reporting to Managing Director responsible for managing all aspects of administrative and support services within the company, ensuring they are run smoothly and efficiently.
The ideal candidate's skills include:
/ 3+ years of working experience in similar position (preferably in IT company)
/ Readiness for business trips across Ukraine
/ Critical thinking, organizational skills
/ Goal orientation
/ Diplomacy and relationship building
/ Positive attitude
/ Stress resistance and multitasking
/ Basic computer skills (Microsoft Excel, Microsoft Word)
/ Upper-Intermediate English level
/ Accountability, strong communication, collaboration, and time-management skills
/ Strong desire to learn more about business every day
/ Planning of team activities in alignment with the company strategy, setting goals, training, supervising, supporting, and controlling Care Team in daily work, assigning responsibilities to ensure efficient administrative operations.
/ People management of the direct reports (Care Team: Care Managers and Travel Manager) conducting regular 1:1s, providing feedback, conducting performance appraisals.
/ Handling complaints and specific consultancy requests, including processing and control over implementation of the employees’ requests submitted via Valtech Helper (Jira).
/ Ensuring all administrative operation functions are well coordinated with other departments to achieve a high level of productivity within the company (People & Culture, Finance, IT).
/ Strategic planning and control of the annual office budget.
/ Ensuring the Valtech offices in Kyiv, Dnipro, Chernivtsi, Vinnytsia, Chernihiv, and Lviv are well taken care of, living up to the Valtech image, consistent, run smoothly, and are the best spaces to work for our employees.
/ Offices management: search for new offices; building and maintaining good relationships with landlords; negotiating with landlords on office prices and discounts, offices condition, reparations, improvements, and additional perks while keeping Valtech’s best interest in mind; planning and executing risk management related to the offices functioning and cost efficiency.
/ Fulfilling Office Management responsibilities in Kyiv office.
/ Vendors management: finding the vendors for office supplies, furniture and ther office equipment within the budget and with appropriate for Valtech ways of doing business, building long-term relationships with vendors, handling product/service vendor documentation.
/ Helping to plan and executing designed by People & Culture events on the various levels: company-wide, local, and team buildings online, in-office or off-site.
/ Participating in creation of the monthly internal newsletter in collaboration with employer branding team.
