Payroll Manager (Part Time)

The role 

As our Payroll Manager, you responsible for ensuring accurate and timely processing of our UK employee payroll, including the management of an external payroll provider. This role oversees UK payroll operations, maintains payroll records, ensures compliance with HMRC and tax obligations, and collaborates closely with HR and Finance to support payroll accuracy. You will be the dedicated point of contact for payroll queries from our employees, managing and resolving issues or questions in a timely manner. Please note, this is a Part Time position. 

Key Responsibilities  

Payroll Processing

  • Prepare and process monthly payroll for all employees, to be processed via the payroll supplier.
  • Review monthly changes, against rules/schedules and ensure accurately reflected in the monthly payroll.
  • 100% accuracy of earnings, deductions and taxes.
  • Resolve payroll discrepancies and respond to employee payroll inquiries.

Vendor & Supplier Management

  • Serve as the primary point of contact for, and manage, the external payroll provider. 
  • Coordinate with the payroll supplier to ensure timely and accurate payroll runs.
  • Monitor service levels, performance and compliance of the payroll vendor.
  • Escalate issues and oversee resolution of system or processing errors.
  • Review and approve supplier outputs, reports and invoices.
  • Support periodic vendor evaluations and contract discussions.

Compliance & Reporting

  • Ensure compliance HMRC, tax and local payroll laws.
  • Prepare payroll reports for Finance, HR and management.
  • Ensure tax payments are delivered.
  • Support audits by preparing necessary payroll documentation.

Data & Systems Management

  • Maintain employee payroll records in HRIS/payroll systems.
  • Support system updates, testing, and enhancements in collaboration with the payroll supplier.
  • Reconcile payroll accounts and support month-end and year-end close processes.

Employee Support

  • Serve as the primary point of contact for payroll-related questions from UK employees, both permanent and contractor. 
  • Assist employees with direct deposit setup, tax forms, and pay-related issues.
  • Maintain strict confidentiality and accuracy with sensitive data.

 

Must have qualifications

To be considered for this role, you must meet the following essential qualifications: 

  • Proven experience as a Payroll Manager/Specialist or in a similar role.
  • You must have prior experience with both managing an internal payroll and managing a relationship with an external vendor/supplier. 
  • Knowledge of payroll processes, regulations and tax requirements.
  • Experience with payroll vendors or outsourced payroll services.
  • Proficiency with payroll systems (IRIS preferred but not essential).
  • Confident with the project management of changing payroll provider.
  • Strong Excel and data-entry skills.
  • High attention to detail, accuracy and confidentiality.
  • Ability to change payroll provider

Please note, this is a Part Time position working up to c. 20 hours a week. (Although we can be flexible with the working hours/schedule depending on individual needs). This is a remote-first role, but we will need someone who is willing to come in our London office a couple of times a month.
