The role  

Valtech is looking for a driven and detail-oriented Office Experience Coordinator to join our Montreal team. In this role, you will help create a welcoming, seamless, and engaging environment for our employees and clients. As part of the Office Experience (OX) Americas Team, you’ll support day-to-day office operations, assist with employee engagement initiatives, and contribute to hybrid work strategies - all while ensuring alignment with Valtech’s global culture and standards. This is a part-time, hourly position with the ability to flex your schedule based on events, client meetings, and business needs.

Role responsibilities

  • Manage daily office operations, including opening/closing and vendor coordination. 
  • Maintain stock and organization of supplies, snacks, and beverages. 
  • Ensure the office is clean, functional, and welcoming for employees and visitors. 
  • Provide a positive experience for employees, guests, and new hires by addressing needs and inquiries promptly. 
  • Support employee engagement programs and hybrid work initiatives. 
  • Assess and suggest enhancements to improve workspace functionality and employee experience. 
  • Implement creative solutions for office design, amenities, and organization aligned with Valtech’s culture and sustainability goals. 
  • Share office updates, policies, events, and announcements across internal communication platforms. 
  • Assist with onsite and virtual event planning, including scheduling, logistics, budgeting, catering, and vendor coordination. 
  • Collaborate with client-facing teams to facilitate successful meetings, events, and workspaces, including setting up specialized environments (e.g., clean rooms), offsites, and workshops to ensure a seamless and professional experience. 
  • Provide scheduling and administrative support for leadership. 
  • Manage deliveries, shipments, and other operational tasks as needed. 

Must have qualifications

To be considered for this role, you must meet the following essential qualifications: 

  • Bilingual in French and English 
  • Ability to be on-site in the Montreal office 3 days a week (~24 hours a week) 
  • Ability to occasionally lift and move heavy boxes (up to 30 lbs) as part of managing office deliveries and supplies. 

Nice to have qualifications  

  • Strong organizational and multitasking skills with attention to detail. 
  • Professionalism and the ability to handle sensitive information with discretion.  
  • A collaborative mindset and willingness to solve challenges proactively. 
  • Some experience with event coordination or supporting hybrid work environments.

The benefits  

This is a part-time position based in Montréal, Quebec. The hourly range offered for this position is $20-$25, depending on experience.
