People & Culture Assistant (3-4 month contract)

We are seeking a People & Culture Assistant to share their exemplary organization talents with our team. You will be responsible for performing daily P&C tasks across various functional areas, including onboarding new employees, maintaining employment files, supporting various People & Culture projects and initiatives and contributing to a positive, productive work environment. The incumbent will provide support to our Toronto & Chicago Offices.

    What you will do:

    • Plan and conduct new hire orientation. Organize and manage orientation program (first day, 30-60-90 days) to provide employees with the basic organization information on company culture, mission & vision, leadership/team and their role in the company
    • Manage the employee set-up with IT on hardware distribution, network account, and collection of company equipment at departure
    • Collect, complete and process all new employee paperwork
    • Process, verify and maintain employee employment related documents required by law for compliance and company to ensure accuracy and proper file management
    • Coordinate and draft employment letters, promotion/salary increase letters and transfer letters with manager, Finance and payroll manager
    • Assist People & Culture Manager in the performance management process and employee engagement
    • Respond to verification of employment inquiries from authorized organizations, such as credit bureaus and finance companies
    • Act as the initial point-of-contact for employees with HR related questions, examples include vacation, address changes, etc
    • Assist People & Culture Manager with special projects and initiatives
    • Accurately maintains employee electronic files and processes changes to employee personal information, position and compensation changes with payroll
    • Assist with various types of reporting and conduct People & Culture related research as requested
    • Support employee exits
    • Ability to develop personal processes and ways of getting things done with little or no supervision
    • Maintain a positive, friendly composure even in difficult situations
    • Adhere to a strong ethical code in compliance with organizational principles and values. Maintain employee and workplace confidentiality


    What you should have:

    • Post-secondary education in the field of Human Resources or equivalent experience in a fast-paced environment desired
    • Creative problem solving, superior organization skills, customer service skills, and flexibility
    • Basic knowledge of applicable employment laws and practices
    • People-oriented and results-driven
    • Holds to high work standards, is dependable and reliable
    • Outstanding relationship management skills
    • Proactive, positive, excellent communication skills
    • Demonstrated ability to work collaboratively with teammates and handle highly confidential information with maturity and discretion
    • Fluency in Excel (pivot tables, lookup formulas, etc.) and strong data management and analytical skills
    • Experience working with HRIS systems including lattice is a plus
